What will that CRM cost you in year one?
A table answers the question for three people. This answers it for your number. The only two inputs that move the total are seats and the one-time fee, and most reviews leave the fee out.
Per account, not per seat: $800/mo covers 3 core seats, $45/mo for each extra.
How to read the result
The per-seat number is the one that grows
A plan that looks cheap per seat gets expensive when you hire, and a plan with a monthly floor gets cheaper per seat as you add people, until you pass the included seats. Both are in the table above: HubSpot Professional is a floor of $800 a month with three seats inside it, which is $3,200 per seat in year one at three people and $960 per seat at ten, before the fee.
The fee is a year-one-only line
Onboarding fees hit once. If you are comparing a 12-month decision, count them. If you are comparing a five-year decision, divide them by five or you will over-weight them. Neither is wrong, but mixing the two is how people talk themselves into the wrong tier.
The renewal price is not the sign-up price
HubSpot Starter's $7 a seat is a new-customer promotion. Put the non-promotional rate into the calculator if you are planning past month twelve, or the total is a best case dressed as a plan.
What is not in this number
Taxes, add-on products sold separately, implementation consultants, and the cost of migrating your existing contacts out of whatever you use now. That last one is often a week of someone's time, which is real money at any salary.
